Welcome to Stephenson Adventures. By booking our shuttle services, day tours, or wildlife safaris, you agree to the following terms and conditions. Please read these carefully before making a booking.

1. Booking Confirmation

  • 1.1 All bookings must be confirmed through our website, phone, email, or WhatsApp.
  • 1.2 A booking confirmation will be sent to you via email or the platform used to book. The booking must be presented on the day of service.
  • 1.3 It is the customer’s responsibility to ensure all details in the booking confirmation are correct.

 

2. Payment

  • 2.1 Full payment is required at the time of the booking unless a different arrangement has been made.
  • 2.2 Payments can be made through the following methods: credit card, bank transfer, cash, and online payment.
  • 2.3 All prices are quoted in South African Rand (ZAR). Prices are subject to change without prior notice, and confirmed bookings will not be affected by subsequent price changes.

 

3. Cancellation Policy

3.1 Shuttle Services:

  • Cancellations made more than 24 hours before the scheduled service will receive a full refund.
  • Cancellations made within 24 hours will incur a cancellation fee amounting to 100% of the reservation amount.
  • No-shows will be charged the full fare and will not be eligible for a refund.

3.2 Day Tours:

  • Cancellations made more than 24 hours before the scheduled service will receive a full refund.
  • Cancellations made within 24 hours will incur a cancellation fee amounting to 100% of the reservation amount.
  • No-shows will be charged the full fare and will not be eligible for a refund.

3.3 Wildlife Safaris:

  • Cancellations made more than 90 days prior to the safari will incur a cancellation fee amounting to 10% of the reservation amount for fees and handling.
  • Cancellations made between 60 to 90 days prior to the safari will incur a cancellation fee amounting to 25% of the reservation amount.
  • Cancellations made between 30 to 60 days prior to the safari will incur a cancellation fee amounting to 50% of the reservation amount.
  • Cancellations made within 30 days will be charged the full fare and will not be eligible for a refund.

 

4. Booking Modifications

  • 4.1 Changes to bookings (date, time, number of participants, or itinerary) can be made without charge prior to the scheduled service, subject to availability.

 

5. No-Show Policy

  • 5.1 If a guest fails to arrive at the designated meeting point within 15 minutes of the scheduled departure time without prior notice, the reservation will be considered a no-show. The full fare will be charged, and no refund will be provided.

 

6. Liability

  • 6.1 Stephenson Adventures is not liable for any injury, loss, or damage incurred during the service, except where such liability cannot be excluded by law.
  • 6.2 We recommend that all guests obtain personal travel insurance to cover any unforeseen circumstances, including cancellations or medical emergencies.
  • 6.3 Guests are responsible for their own safety and the safety of their belongings while on our services.

 

7. Behavioral Expectations

  • 7.1 Guests are expected to conduct themselves in a manner that is respectful to our staff, other guests, and the environment.
  • 7.2 We reserve the right to refuse service or terminate a booking if a guest displays disruptive, abusive, or harmful behavior.

 

8. Personal Property

  • 8.1 Stephenson Adventures is not responsible for any loss or damage to personal belongings during the service.
  • 8.2 Guests are encouraged to keep their belongings secure and to report any loss to our staff immediately.

 

9. Force Majeure

  • 9.1 Stephenson Adventures shall not be liable for any failure to perform its obligations due to events beyond its reasonable control, including but not limited to natural disasters, government actions, civil unrest, or labor disputes.
  • 9.2 To the fullest extent permitted by South-African law, Stephenson Adventures is not liable for any indirect, incidental, consequential, or punitive damages arising out of your use of the Site or participation in our tours, except where caused by our gross negligence or wilful misconduct. Our aggregate liability will not exceed the total amount you paid us for the specific service in question.

 

10. Governing Law

  • 10.1 These Terms and Conditions shall be governed by the laws of South Africa. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of South Africa.

 

11. Changes to Terms and Conditions

  • 11.1 Stephenson Adventures reserves the right to update or modify these Terms and Conditions at any time. Changes will be communicated through our website or via direct communication with clients.
  • 11.2 Continued use of our services after changes are made constitutes your acceptance of the revised terms.

 

12. Customer Complaints

  • 12.1 Should you have any complaints or issues during your service, please notify our staff immediately to allow us the opportunity to resolve the matter.
  • 12.2 Formal complaints can be directed to admin@stephensonadventures.co.za, and we will respond within 5 business days.

Child Policies for Shuttle Services, Day Tours, and Safaris

Shuttle Services and Day Tours:

  • Children of all ages are welcome on all the services we offer. Bookings for our multiday safaris are strictly subject to the availability of child-friendly accommodation at the time of request.

1. Child Safety

  • All children must wear seat belts during shuttle rides. Booster and child seats are available upon request.

2. Supervision

  • Parents or guardians must always supervise children during tours and activities.

3. Pricing

  • Children aged 6 to 12 years receive a 50% discount on shuttle services and tours.

4. Behavior Expectations

  • We ask that all children behave respectfully during tours to ensure a pleasant experience for everyone.

5. Special Needs

  • If your child has special needs, please inform us in advance so we can accommodate them appropriately.

 

Safari Policies:

1. Age Restrictions:

  • Different safari lodges may have varying age restrictions for children. It is essential to check with us regarding the specific policies of the lodge where your safari is booked.

2. Safety Considerations:

  • Children under the age of 12 may not be permitted on certain safari activities due to safety concerns. This includes but is not limited to walking safaris and certain game drives.
  • It is the responsibility of parents or guardians to ensure that their children adhere to safety guidelines provided by the safari guides.

3. Special Arrangements:

  • If you are traveling with children, please inform us at the time of booking so we can make any necessary arrangements and ensure a safe and enjoyable experience for everyone.
